Privacy Policy
In short: we collect what your coworking space needs to run your membership, such as your name, phone number, bookings, credits and payments. We do not sell your data, we do not show ads and we do not track you across other apps. You can ask for your data to be deleted at any time on our account deletion page.
1. Who we are
SpacePartner is software for coworking spaces, made by TTAC — The Tiny Apps Company, Kalp Business Center, Citylight, Surat, Gujarat, India ("we", "us").
Each coworking space (the "operator") runs its own private SpacePartner system and decides which members it admits and which services it offers. For your membership data the operator is the Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (DPDP Act). We build and run the app and the platform, and we process that data on the operator's behalf. We are also responsible for the app itself, and for this policy.
2. What we collect
| Data | Examples | Why |
|---|---|---|
| Identity and contact | Name, mobile number, email address, company, profile photo | To sign you in with a one-time code, identify you as a member and contact you about your membership |
| Identity verification (KYC) | Result of an Aadhaar check through DigiLocker, a face photo taken in the app where your space requires it | To verify who you are before you are given access, where your space requires it. The app never stores your Aadhaar number, only whether the check passed and the name it returned |
| Membership and usage | Plan, location, bookings, day passes, visitors you register, cafe orders, locker and parking requests, mailroom entries | To provide the services you use at your space |
| Credits, payments and invoices | Credit balances, top-ups, transactions, GST invoices, refunds | To charge for services, keep accounts and issue GST invoices |
| Content you create | Community posts, event registrations, poll votes, directory profile, support tickets and ratings | To run the community features and resolve your issues |
| Device data | A push-notification token for your device | To send you notifications about bookings, orders, tickets and events |
We do not collect your location, contacts, microphone recordings, browsing history or advertising ID. The app contains no advertising and no third-party analytics.
Card and UPI details are entered on the payment provider's own checkout and are not stored by SpacePartner.
3. How we use it
- To provide the app and the services your coworking space offers.
- To process payments and keep the tax and accounting records the law requires.
- To keep the service secure, prevent fraud and misuse, and moderate community content.
- To send service messages and notifications. You can turn push notifications off in your phone's settings.
- To fix problems and improve the service.
We process your data on the basis of your consent, which you give when you accept the terms in the app, and for purposes the DPDP Act allows without separate consent, such as meeting legal obligations.
4. Who we share it with
We do not sell personal data. We share it only with:
- Your coworking space, whose staff use SpacePartner to run your membership. Your community directory profile is visible to other members only as far as your privacy settings allow.
- Service providers that process data for us under contract: Google Firebase (sign-in with a one-time code and push notifications), Razorpay (payments), Cashfree (Aadhaar verification through DigiLocker) and Frappe Cloud (hosting). Each receives only what it needs for its task.
- Authorities, when the law requires it.
Our hosting provider may store data on servers outside India. Wherever it is stored, it is protected as this policy describes.
5. Security
- All data travels over encrypted connections (HTTPS/TLS).
- Sign-in tokens are kept in your phone's secure storage.
- Staff see only what their role needs, and sensitive actions are logged.
If a breach affects your personal data, we and your space will inform you and the Data Protection Board of India as the DPDP Act requires.
6. How long we keep it
We keep your data while your membership is active. After you leave or ask for deletion, we delete or anonymise it. The exception is records the law requires us to keep, such as invoices and tax records, which are kept for the period Indian tax and accounting law requires and then deleted. Copies in backups are overwritten as the backups roll over.
7. Your rights
Under the DPDP Act you can:
- ask what personal data is held about you and who it has been shared with;
- ask for it to be corrected, completed or updated (much of it you can edit in the app's Profile);
- withdraw consent and ask for your data to be erased (see Delete your account);
- nominate someone to exercise these rights for you;
- complain to us, and then to the Data Protection Board of India if you are not satisfied.
8. Children
SpacePartner is for adults. It is not meant for anyone under 18, and we do not knowingly collect data from children.
9. Changes to this policy
If we change this policy, we will update the date at the top and, for important changes, tell you in the app.
